This privacy policy for Choice Solutions, L.L.C. (“we,” “us,” or “our“), describes how and why we might access, collect, store, process, use, and/or share your information when we provide you with our Services. For purposes of this policy, “Services” is defined as information technology services, including installation, break/fix, consulting, integration, managed services, and/or educational services, along with your engagement with us including, but not limited to, visiting our website, interacting with our marketing or social media efforts, or purchasing third-party products we resell from our vendors and suppliers. If you do not agree with our policies and practices, please do not use or engage with our Services.

1. Information We Collect

We may collect your information when you use, interact with, or express an interest in our Services. When collected, Choice acts as the business and controller of the data processed under this policy. We will notify you of our collection efforts as required by state law. The information we collect may include:

  • Identifiers and Contact Information – This includes your name, business email and mailing address, business phone #, company name and industry, your job title, etc. This information may originate from our business efforts including from partners who identify you as interested in our Services. It is our legitimate business interest to communicate with you in these cases about our Services and to retain this information for future questions or follow-ups regarding our Services.
  • Consents – When you consent to receive text message, telephone, or other contact consents. It is in our legitimate business interest to maintain these records of your consent to facilitate communication. (NOTE: We do not share your mobile or text message opt-in consents with third parties or affiliates.)
  • Financial information – Billing address and payment instructions you give to us to pay for Services. It is in our legitimate business interest to maintain this information to process payments.
  • Authentication or verification data – Passwords or other similar data we’re given to access your systems when we provide you with Services. It is in our legitimate business interests to maintain this information to access systems in order to provide Services and to ensure security of system access.
  • Web data – Your website visit data such as IP address, browser data, cookies, device information, general location data, and data from web beacons, pixels, and other tracking technologies. This also could include your browsing signals including 3rd party tools that track your intent and interest with our Services. This data is used only in a business context to evaluate interest in our Services and is not used for automated decision-making or cross-content advertising outside of our business relationship. It is in our legitimate business interest to track and act upon your interest in our Services.
  • Social media data – Any social media data you share with us including connection requests. When you connect, the social networking site may share with us additional data it has collected on you. It is in our legitimate business interests to monitor interaction with our social media postings and to engage with users who interact with the same for our business and marketing efforts.
  • IT system information – Technical and system data gathered as part of a Services engagement to support your IT environment, including logging and functionality data used to deliver and monitor Services. It is in our legitimate business interests to maintain this information so we can properly provide Services.
  • Employment – Information you provide as part of an employment application. Some information (such as background checks) is processed through 3rd parties with their own separate terms. Any employment information is kept separate in appropriate human resources systems. If you provide us with sensitive information, such as medical information related to accommodation requests, we will keep this secure. It is in our legitimate business interests to use information you provide to us to evaluate qualifications for employment, and to further maintain this information to comply with governmental record keeping.
  • Any other information you voluntarily provide – We use other voluntary information to enhance our Services and identify additional Services we may be able to provide to you. It is in our legitimate business interest to monitor and maintain this information for the continuous improvement of our Services.

 

2. Information we Do Not Collect

Our Services are intended for business professionals, and a such we do not knowingly obtain, process, use, or collect any information of children, and specifically no information of children 16 years old or under. If you are a child’s parent or guardian and become aware of or suspect our collection of your child’s information, please contact us and we will promptly remove such information in accordance with applicable law.

We do not intend or knowingly attempt to collect sensitive data, such as precise location data, personal demographic data, etc. If we do receive sensitive data (typically employment application information) we will use it strictly for its intended purpose and not to otherwise infer characteristics or beyond permitted purposes.

Your device or browser you use may have the ability to restrict what information is collected, and we suggest you review your device and browser settings to confirm or update your preferences. You may decline to provide your data and information at any time, but doing so may prevent functionality with respect to Services.

Data Use

We may use, combine, share, or process the personal information that we collect to provide our Services and for other related legitimate business purposes. We are not a data broker nor in the business of using, transferring, or processing data for “sale” or other use separate monetary gain as would be commonly understood by using those terms. Our data use includes the following actions:

  • Services Delivery – When needed to perform Services you’ve engaged us to provide.
  • Communication – Communicating with you, including responding to inquiries or following-up with you if you have expressed interest in our Services.
  • Data Enrichment, Intent Determination, and Analytics – We use third-party intent determination, marketing, and emails tools to identify your interest in our Services and your engagement with our messaging and social media campaigns. In particular we use Google Analytics as part of our website.

PLEASE NOTE: Some state laws define “sale” and “sharing” broadly. Therefore, our use of third party analytics, intent signal platforms, and marketing and advertising partners may be considered “sale” or “sharing,” even though no monetary exchange occurs. Residents in affected states may opt out using the contact methods provided herein.

  • Analytics – We may use automated or AI assisted tools to analyze website usage, improve content relevance, optimize performance, or enhance user experience. These tools are used in a limited, business-focused manner and not used for automatic decision-making that would have legal or similarly significant impact on individuals. Data collected through these tools is not used to train publicly available AI models.
  • Authentication – When we have to interact with your account(s), including financial account(s), for the provision of our Services.
  • Protecting Vital Interests – To protect vital interests of us or our customers, to secure our Services against internal or external threats, and to protect our intellectual property rights.
  • Support – When we engage others to provide support services, such as engaging legal counsel, accountants, auditors, or similar professionals.
  • Legal Compliance – When required by law or legal process.
  • Vendor and Partner Coordination – When you have expressed interest or asked for Services where a vendor or partner is required to facilitate that request, or when we engage a contractor to assist with our Services. Some examples of these third-party vendors and partners include:
    • Payment processors and banking partners.
    • Manufacturers, distributors, and vendors when needed to quote or fulfill a Services order

4. Retention and Safety of information

Retention – We retain your personal information during the provision of Services to you. When we have no ongoing business need to retain or process your personal information, we delete or anonymize such information, or, if this is not possible or practicable (for example, because your personal information has been stored or archived as part of our data retention practices or your information cannot be legally deleted), then we will securely store your personal information in accordance with our data retention policy.

Safeguards – We have implemented appropriate and reasonable technical and organizational security measures to protect information we collect. However, despite these implementations, no electronic transmission or information storage technology can be guaranteed to be 100% secure, and we cannot promise or guarantee that unauthorized third parties will not improperly collect, access, steal, or modify your information. As online communication is handled by third-party transmission services, any transmission of personal information to us is without warranty or guarantee as to its security in transit. We recommend you send information on an as-needed basis and with modern security protocols in place in your environment.

Outside Links – Any third-party links are subject to the terms and conditions of that third-party, and we are not responsible for the information provided on such link, nor with the hosting entity’s privacy or data practices.

5. Your Rights Regarding Your Personal Information

Data Rights – You may have specific data rights depending on your state of residence. You may review your state attorney general’s website or contact legal counsel for more information. If you exercise your rights we will not modify, deny, or change our pricing, quality, or service levels or retaliate against you for exercising your rights. Your state-specific data rights may include any or all of the following:

  • Right to Know – To know the categories of information we collect about you, where we obtain the information, the purpose for which we use your information, and to which third parties the information is disclosed.
  • Right to Correct – To correct your information if it is inaccurate.
  • Right to Delete – To delete your information.
  • Right to Data Portability – To receive a portable copy of your personal information.
  • Right to Opt Out of: (i) sales of personal information; (ii) sharing or use for targeted advertising; (iii) profiling that produces legal or similarly significant effects; or (iv) use or disclosure of sensitive personal information (opt out or opt in depending on state)
  • Right to Appeal – To appeal if we deny your request. Your appeal should be sent within 45 days to one of the contact addresses provided in this policy. We will re-review your request and escalate it internally as needed. We will respond within the timelines provided in this policy.

Data Request – If we receive a request, we will review and respond within 30 days, with one additional extension as needed, or as provided by law. You may use an authorized agent to make a request. As part of our response, we may need to verify your identity (or the authority of your agent). Verification may include descriptions of the data you seek to change or delete in a manner sufficient to confirm the request, with such verification used solely for identity confirmation and not otherwise retained. We may deny your request if allowed under law and where we are validly using your data for our legitimate purposes such as when we’re providing Services or if the data is subject to legal process.

6. Updates to this Policy

From time to time it may become necessary for us to amend and change this privacy policy. We will publish changes on our website, and they will become effective on the date provided as the Effective Date. If we make material changes to this privacy policy, we will indicate as such in the manner provided below in this Section, or in another reasonable manner determined by future course of business. We encourage you to review this privacy policy frequently to monitor changes and understand how we are handling your information.

Please note, your continued use of the Services will constitute your agreement and consent to any changes to this privacy policy.
